Life in a health resort moves much faster compared to an outpatient clinic. Managing hundreds of patients and thousands of appointments is no walk in the park. It gets even more complicated when you have to juggle different procedures and specialist availability. And if one of them takes a sick leave, you have to start from scratch. Informing patients about major schedule changes is a whole new challenge — ensuring no one gets left behind, reaching everyone and making sure they all know where and when to show up for their procedures. Procedures included in the treatment package

Attending physician stands between the patient and the procedures pre-included in their paid package. It’s doctor’s responsibility to confirm that the patient is ready for the planned treatments. If all checks out, the doctor simply needs to press the «Dispatch» button, and all procedures will be evenly scheduled throughout the patient’s stay. Each completed procedure will be recorded in the patient’s electronic medical record.

Rules

To ensure the system schedules patients accurately, we need to establish a set of rules for it to follow when creating timetables:

1. Standard Rules: These are the default logic programmed into the system. For example, if a massage therapist works on Tuesdays and Wednesdays, the system won’t schedule a massage session on a Monday.

2. Custom Rules: These are tailored during the system implementation to align with health resort’s business processes and service offerings. If a certain patient group or treatment type is scheduled in the morning, that pattern will continue. The system also considers procedure compatibility. For example, it won’t schedule electrotherapy on the same day as a radon / sulfide bath.

3. Patient Preferences: If a client prefers to start the day with a walk or requests a specific specialist for a procedure, the system can accommodate these wishes with just a few clicks.

Of course, automated scheduling eliminates situations where two patients book appointments with the same specialist at the same time. With the approved list of procedures and patient preferences taken into account, all that’s left is to press the «Dispatch» button. Within seconds, a finalized schedule can be printed out or viewed in the guest mobile app.

Additional Paid Procedures

When clients are recommended to purchase extra treatments or examinations, it is easy to add them to an existing schedule via the doctor’s computer or mobile app. The system will identify an available slot (or multiple slots for treatment courses) and update the schedule in line with all specified rules.

So, what's the result?

  • Staff time savings — a few seconds instead of 30-40 minutes per patient.
  • Error elimination — no double-bookings, incompatible procedures, and so on.
